Correct the Return Cost on a Supplier Return

Steps to fix a Supplier Return that won't complete because the Return Cost and Cost Line don't match.

Written by Heather Worthington

You can return only some of the Products from a Purchase Order to your Supplier. When you do, the Cost of the returned Products must match the original Purchase Order exactly. If the costs don't match, the Supplier Return can't be completed.

This article explains why the costs stop matching after you remove Products from a Supplier Return, and how to correct them so you can complete the return.

📌Note: The Cost Line is the total cost of the returned items. It must match the Return Cost field. If you change the return quantity, you may need to update the Cost Line manually to show the correct value.

Understand why the Supplier Return won't complete

When you return a portion of the stock or cost of a Purchase Order in a Supplier Return, you need to ensure the total Return Costs and Supplier Cost Lines match before the Supplier Return can complete.

When product lines are deleted, or Return Quantities or Return Costs are reduced, the Supplier Cost Lines don't update automatically. You need to recalculate them to show the correct remaining Return Cost. Until you do, the Supplier Return will display an error message when you attempt to complete it: "Adjust costs to complete the Return. The costs total (4000.00) must match the total costs assigned to the products (2.00)."

Match the Total Return Cost and Total Cost Line

The value the Cost Line needs to show depends on the Return Cost.

  • If the Return Cost is zero (0.00), the Cost Line must also be zero (0.00).

  • If the Return Cost isn't zero, the Cost Line must match the Return Cost.

Recalculate the costs

Click the Recalculate icon on the Supplier Return's cost lines to automatically update the returning Cost Lines using the current Total Return Costs of the products. When multiple Supplier Costs are included, the recalculated cost will be split proportionally based on the initial Order Cost split by default, but you can manually edit the costs for a custom split before completing.

📌 Note: For multi-currency returns, the Cost Line is entered in the original supplier currency and converted when the totals are checked.

Complete the Supplier Return

When the Total Return Cost and Total Cost Line match, you can complete the Supplier Return.
