Configure Product Synchronization for Shopify

Configure how product details sync between Unleashed and Shopify to maintain consistency and save time managing your inventory.

Product Synchronization ensures your product information stays consistent between Unleashed and Shopify by automatically updating details when changes are made in your chosen "master" system. This feature saves time and prevents discrepancies across your platforms.

Key points to remember

  • Stock on Hand (SOH) is always controlled by Unleashed and will export to Shopify when enabled in the Stock Configuration tab, regardless of your Product Synchronization settings.

  • Products must be ticked for the Shopify store in the "Manage your Products" tab for stock levels to sync.

  • Draft and Archived Shopify products will import to Unleashed when using the "Import Products from Shopify to Unleashed" function, regardless of your master system setting.


Product Synchronization Options

You have three options for Product Synchronization:

  • Unleashed as Master

  • Shopify as Master

  • Product Synchronization Disabled

Unleashed as Master

  • Updates made in Unleashed automatically sync to Shopify.

  • New products created in Unleashed appear in Shopify (single store) or require manual selection in "Manage Your Products" (multiple stores).

  • The selected "Product Sell Price Tier for this shop" price will export from Unleashed to Shopify.

  • Deleting products without transaction history from Unleashed will remove the product from Shopify.

Shopify as Master

  • Only available when connecting a single Shopify store.

  • Updates made in Shopify automatically sync to Unleashed.

  • New Shopify SKUs create corresponding products in Unleashed.

  • The Shopify product's price will import to update the Unleashed product's selected "Product Sell Price Tier for this shop".

  • When a Shopify product's "Charge tax on this product" setting is disabled, the product's Default Sales Tax in Unleashed will update to the No Tax 0% (NONE) tax rate.

  • Deleting products without transaction history from Shopify will delete the product in Unleashed.

If an existing Shopify store has Shopify as master, and you later add more Shopify stores, the Product Synchronization of the existing store will automatically default to Unleashed as master.

Synchronization Disabled

  • No automatic syncing occurs for product pricing or details between systems.

  • Changes must be made manually in both platforms.

  • Products can be created and deleted independently.

When synchronization is enabled, you can choose which product details sync from the master system:

πŸ“Œ Note: When Unleashed is master, a product's Default Image in Unleashed will replace all Images for the product in Shopify.


Configure Product Synchronization

  1. Navigate to eCommerce Hub > Shopify.

  2. Click Configure on your Shopify store tile

  3. In the Configuration tab, scroll to the Product Synchronization section.

  4. Toggle synchronization on (green) or off (grey).

  5. If enabled, select your master system:

    • Unleashed is Master

    • Shopify is Master (single store only)

  6. Click Configure next to Advanced Settings.

  7. Toggle individual product details on (green) to sync them from your master system.

  8. Click Save Configuration to apply your changes.


Product pricing with Shopify

If your prices are to be tax inclusive in Shopify, select the "All taxes are included in my prices" checkbox on the Settings > Taxes page in Shopify. The below describes how the prices are synced in Unleashed if the Shopify prices are set to tax inclusive:

  • Tax value is excluded when importing the product prices into Unleashed.

  • Tax value is added to the Unleashed price when we create products in Shopify.

  • Product prices updated in Unleashed are sent to Shopify.

  • If Shopify is set as "master" the tax rate will pull from Shopify and set within your product record in Unleashed.


Best Practices

  • Choose Unleashed as the master when managing multiple Shopify stores.

  • Enable synchronization for frequently updated product details like descriptions and notes.

  • Regularly review your "Manage your Products" selections to ensure the appropriate stock is syncing.

  • Test synchronization with a few products before enabling all details.

This configuration ensures your product information remains accurate and consistent across both platforms while reducing manual data entry.


Frequently asked questions

Are non-sellable products exported to Shopify?

When Unleashed is Master in your Shopify store's configuration settings, any time a product is saved in Unleashed, it will export and sync to Shopify, regardless of whether it is set up as sellable or not.

However, if Shopify is Master of your store's configuration settings, non-sellable products will only be exported or synced to Shopify if they're ticked in your integration's "Manage your Products" page.

Are obsolete products exported to Shopify?

If the product is currently ticked in your Shopify integration's "Manage your Products" page, when it's obsoleted in Unleashed it will still remain synced with Shopify and will still export when "Export Products from Unleashed to Shopify" is actioned from the "Manage your Data" page.

To stop obsoleted products from syncing or exporting to Shopify, make sure to untick the product in your Shopify integration's "Manage your Products" page before you make it obsolete in Unleashed.

What happens to Never Diminishing Products when integrating with Shopify?

By default, Never Diminishing Products (NDPs) in Unleashed export to Shopify as inventory tracked products, but after they have been mapped, you can disable inventory tracking in Shopify's product.

Do product images sync between Unleashed and Shopify?

Only the product's Default Image in Unleashed will sync with Shopify.

What happens if a product is deleted in Shopify?

If the product has current stock on hand or has been included in any transactions in Unleashed, when it is deleted in Shopify, it will remain active and available in Unleashed and will remain ticked in the Shopify integration's "Manage your Products". If "Unleashed is Master", when the product is next saved in Unleashed, it will be recreated in Shopify.

If the product has no stock on hand and has never been included in an transaction in Unleashed (check the product's Transactions, References, and Production tabs), when the product is deleted in Shopify, it will be deleted in Unleashed too.
