Effective management and customisation of invoice templates in Unleashed allow users to optimise their invoicing process to meet specific business needs. Below are the processes and steps for customising templates, altering completed invoices, adding fields, and ensuring your changes are applied correctly.
Changing the Template on a Completed Invoice
If you need to update the invoice template for an existing (already completed) invoice, you can do so manually:
Open the Invoice's page in Unleashed.
Locate the Invoice Template dropdown field.
Select the desired template from the dropdown list.
Save the changes to the invoice.
Print the invoice to reflect the changes.
This approach requires manual adjustments and is applicable only to individual invoices.
Adding New Fields to Invoice Templates
Unleashed enables you to customise invoice templates by adding new fields, such as the "Invoiced Quantity" column, and renaming column headers. To add and customize fields in your invoice template:
Navigate to Settings > Doc Designer > Invoices.
Select your desired invoice template.
In the template layout, click on the
InvoiceLinesGridcomponent.Go to the Component tab.
Under Column Control, locate and select the field you want to add, e.g.,
InvoicedQuantity.Check the Visible checkbox to enable the field.
To rename the header, update the column’s header text.
Click Save Now and then click Publish to apply the changes.
These steps allow you to adapt the template to your specific invoicing requirements.
Applying Template Changes to Printed Invoices
After making edits to your invoice template, save and publish the updates to ensure they are effectively applied:
Save your changes within the template designer.
Click Publish Now to finalise and apply the updates.
Open the invoice where the updated template should be applied.
Use the Print option within the invoice to verify that the changes have been incorporated correctly into the printed invoice.
This ensures that any adjustments or customisations made to the templates are fully reflected in the invoices you print.
Additional Tips
Ensure all changes are saved and published for them to apply to both existing and new invoices.
