View Credits

An overview of the Credit Notes and Free Credits created for your sales.

The View Credits page provides a centralized location to monitor and manage all Credit Notes and Free Credits in your account. From this page, you can review credit details, track their status, and use comprehensive filtering options to quickly locate specific credits. The customizable layout allows you to display the information most relevant to your credit management processes, whether you're processing customer returns, tracking refunds, or analyzing credit transactions across your business.

To access the View Credits page, go to the main menu and select Sales > Credits > View Credits.


Manage your view

By default, the View Credits page will list all Parked status Credit Notes and Free Credits in descending order of their Credit Number.

At the top of the View Credits page, there are two functional buttons available:

  • Export: Downloads the current View Credits layout in either a PDF, CSV or XLSX format.

  • Add Credit: Opens the Add Credit page, from where you can create a new Credit Note or Free Credit.

Filter your Credits

Use the filter fields available at the top of the View Credits page to specify which Credit Notes or Free Credits should be displayed, making it easier for you to review and update them.

Description

Status

Use the drop-down menu to filter by Credit Notes or Free Credits status. The options available are:

  • All

  • Parked

  • Completed

Credit Note Number

Filter the Credit Notes or Free Credits by their Credit Number.

Customer

Filter for Credit Notes or Free Credits by the customer's name or code. Use the magnifying glass icon to refine the customer filter.

Sales Invoice Number

Filter for Credit Notes by their originating Invoice's Invoice Number.

Warehouse

Use the drop-down menu to filter by the warehouse allocated to the Credit Notes or Free Credits.

Printed

Use the drop-down to filter for Credit Notes or Free Credits that have either been printed or not.


Customise the View Credits layout

The detail that's displayed per Credit in the View Credits page is determined by column headers that are included in the page's grid layout.

The columns that are displayed by default in your View Credit page are described in the table below.

Description

Credit Note No.

Displays the Credit Note or Free Credit's unique transaction number.

Credit Date

Displays the Credit Date of the Credit Notes or Free Credits.

Customer

Displays the name of the customer the Credit Note or Free Credit is for.

Status

Indicates the current status of the Credit Note or Free Credit.

Currency

Indicates the Credit Note or Free Credit customer's currency.

Total

Displays the total credit value of the Credit Notes or Free Credits, including charges and excluding tax, in your account's base currency.

View Credits' Hidden Columns

There are additional columns you can display on the View Credits page, which can be found in the Show Toolbar tab's Hidden Column. Drag and drop the column header from the Hidden Columns pop-up window into your grid's layout to populate the column's detail per Credits in your view.

Description

Customer Code

Displays the code of the customer the Credit Note or Free Credit is for.

Invoice Number

Displays the Credit Note's originating Invoice's Invoice Number. The Invoice Number will always be blank for Free Credits.

Printed

Indicates with a tick or cross icon if the Credit has been printed.

Sales Order Customer Ref

Displays the Customer Reference on the Credit Note's originating Sales Order.

๐Ÿ“ŒNote: Only the headers already displayed in the layout or the Hidden Columns list can be displayed in the View Credits page.

Manage custom layouts

Customize how the Credits details are displayed by adjusting the column widths, dragging and dropping columns into their preferred position, and clicking on the header to sort the Credits into ascending or descending order. You can also drag and drop column headers into the grey space above the other column headers to group Credits by that column's detail, in an expandable format.

After customizing your column layout, save it for future use:

  1. Click on the Show Toolbar tab.

  2. Select New.

  3. Enter a unique name for the new layout.

  4. Click Add.

The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.

Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.

Default grid layouts

Initially, whenever you navigate to the View Credits page, the default grid layout "None" will be displayed.

To make one of your own custom grid layouts the default view:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Default checkbox.

  4. Click Save.

Share grid layouts

If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Shared checkbox.

  4. Click Save.

The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the View Credits page.


Export Credits

To download a comprehensive breakdown of all your Credit Notes and Free Credits, including the credit lines' product, quantity and prices, in a CSV format, go to the main menu and select Sales > Credits > Export Credits.
