Xero: Deactivation, Disconnection and Reconnection

Pause your Xero integration, without losing your configuration settings

If you want to temporarily pause your Xero integration, without losing your configuration settings, you can deactivate it from within Unleashed. When deactivated, no updates made to your Customers or Suppliers in Unleashed will sync to Xero and no transactions will export.

Deactivate your Xero integration

  1. From Unleashed's main menu, go to Integration, Integration Store and click on the Xero tile.

  2. In the top right corner, toggle off "Integration Status".

  3. The integration's sync will immediately be paused and the toggle will update to show "Reconnect?".

When the integration is deactivated, you will still be able to update your Configuration settings but you will not be able to view or use the Manage your Data or Export Data pages.

Reconnect your Xero integration

Once you're ready to continue using the Xero integration, you can reconnect via the integration's page. Just bear in mind that any transactions that have completed or any changes that have been made to your Customer or Supplier records in Unleashed since the integration was deactivated will not automatically export and will need to be manually exported. To reactivate your Xero integration:

  1. From Unleashed's main menu, go to Integration, Integration Store and click on the Xero tile.

  2. In the top right corner, toggle on "Reconnect?"

  3. A pop-up window will appear, in which you'll be asked to enter your Xero account's login details.
    This is required to verify the correct account is integrated.

  4. Follow the steps provided in the Xero login window, selecting "Allow Access" to confirm reactivation.

  5. Once confirmed, you'll be taken back to Unleashed's Xero integration page. Refresh Unleashed's browser window and your integration will be active again.

Why would I want to deactivate my Xero integration?

Deactivating your Xero integration is particularly useful when updating your configuration settings or making bulk changes to your Customer and Supplier records in Unleashed. Any time a Customer or Supplier record is updated or saved in Unleashed the change is synced to Xero in real time.

By design, Xero has an API limit of 5000 calls per 24 hours, which means Unleashed is only able to export up to 5000 changes (including completed transactions and updated Customers and Suppliers) to Xero per day. If you're therefore updating Customers or Suppliers in Unleashed in bulk, each individual record's update will add to your daily API limit in Xero. We therefore recommend considering deactivating your Xero integration when completing bulk updates to your Customers and Suppliers in Xero, reconnecting once all edits have been made.

There are 3 ways in which the Xero integration's connection can be broken and subsequently stop any further updates from syncing or exporting between Unleashed and Xero:

  1. Deactivating the integration

    • If the Integration Status toggle has been turned off, this will pause any further exports or syncs from Unleashed to Xero without affecting your configuration settings or existing mappings.

    • Deactivating the Xero integration is often used for basic troubleshooting or to assist in processing bulk updates to your Customer or Supplier records in Unleashed.

  2. Uninstalling Xero from Unleashed

    • By uninstalling the Xero integration, all existing configuration settings and mappings will be removed and no further exports or syncs will occur between Unleashed and Xero.

    • Uninstalling Xero from Unleashed is typically used for moderate to critical troubleshooting cases such as mapping discrepancies or system errors. We recommend taking note of your current configuration settings before uninstalling the app (take a screenshot if possible).

  3. Xero was disconnected from Unleashed

    • In the event where Unleashed is removed as an integrated app from within Xero itself, this will deactivate the integration in Unleashed.

    • If the Xero integration is broken from Xero's side, an error message will show in your Connection Log to confirm this. For more details, see Xero Connection Log & Common Errors.

Each of the above instances can be used to help resolve mapping errors or syncing issues with your current Xero integration. We would always recommend trying to refresh your Xero integration using each of the above options in the order they're listed above.

The Xero integration connection can be broken in three ways, each with different implications for your configuration settings and data. If you're experiencing mapping errors or syncing issues, we recommend working through each option in the order listed below.

Ways the connection can break

1. Deactivating the integration in Unleashed

Turning off the Integration Status toggle in Unleashed pauses all exports and syncs, but preserves your configuration settings and mappings. This is the least disruptive option and is best used for basic troubleshooting or when making bulk updates to Customer or Supplier records. See Why deactivate? below.

2. Uninstalling Xero from Unleashed

Uninstalling the integration removes all configuration settings and mappings and stops all exports and syncs. This is typically reserved for moderate-to-critical issues, such as mapping discrepancies or system errors. Before uninstalling, take note of your current configuration settings, as these will need to be re-entered after reinstalling. For guidance, see Xero Integration Setup.

3. Xero disconnected from Unleashed

If Unleashed is removed as a connected app from within Xero itself, the integration will be deactivated on the Unleashed side. An error message will appear in your Xero Connection Log to confirm this has occurred. For details, see Troubleshooting Xero integration errors.


Why deactivate?

Deactivating the Xero integration is particularly useful when making bulk changes to Customer or Supplier records in Unleashed. Every time a Customer or Supplier record is updated or saved, the change syncs to Xero in real time when Export Customers and Export Suppliers are enabled in your Configuration. Xero enforces an API limit of 5,000 calls per 24 hours. Each individual record update counts toward this limit, so bulk changes can quickly exhaust your daily allowance.

By deactivating the integration before making bulk updates and reconnecting once all edits are complete, you avoid hitting the API limit and ensure your changes sync cleanly.

📌Note: While deactivated, you can still update your Configuration settings, but the Manage your Data and Export Data pages will not be accessible.

How to deactivate the integration

  1. From Unleashed's main menu, go to Integrations > Integration Store and click the Xero tile.

  2. In the top-right corner, toggle off Integration Status.

  3. The sync will pause immediately, and the toggle will update to show Reconnect?

How to reconnect the integration

When you're ready to resume, you can reconnect from the same page. Note that any transactions completed or Customer/Supplier changes made in Unleashed while the integration was deactivated will not sync automatically; these will need to be manually exported. For details, see Xero: Export Data.

  1. From Unleashed's main menu, go to Integrations > Integration Store and click the Xero tile.

  2. In the top-right corner, toggle on Reconnect?

  3. A pop-up will prompt you to log in to your Xero account to verify the correct account is being reconnected.

  4. Follow the steps in the Xero login window and select Allow Access to confirm.

  5. Once confirmed, you'll be returned to the Xero integration page in Unleashed. Refresh your browser to complete the reactivation.
