Set up and manage the eBay Integration

Connect your eBay seller account to Unleashed with Access Evo's Integration Hub, and import orders and sync stock levels automatically.

The SBD Integration Hub's eBay Integration links your eBay seller account to Unleashed, allowing orders placed on eBay to flow directly into Unleashed as sales orders. Stock levels are synchronised from Unleashed to your eBay listings so your available inventory stays accurate across both platforms.

⚠️ Important: The SBD Integration Hub's eBay integration is in beta from July 2026 and is only available to a select group of customers. If you are in the beta programme and have feedback or encounter any issues, email the team at [email protected].

If you are not in the beta programme, the SBD Integration Hub will be available upon general release in the coming months.

Why use Access Evo's eBay Integration?

  • Automatic order import: eBay orders are pulled into Unleashed as sales orders via eBay notifications, removing the need for manual data entry.

  • Scheduled stock sync: Inventory levels in Unleashed are pushed to your eBay listings automatically on a schedule, helping you avoid overselling.

  • Centralised fulfilment: All your eBay orders are processed alongside your other sales channels within Unleashed.

  • Multi-marketplace support: Connect to eight eBay marketplaces, including eBay UK, eBay US, and eBay Australia, from a single integration.


Prerequisites

Before you begin, make sure you have:

  • An Unleashed account with access to Access Evo > Products > Integration Hub.

  • An active eBay seller account with permission to authorise third-party applications.

  • At least one warehouse configured in Unleashed, to assign for order fulfilment.

  • A Guest Account customer record created manually in Unleashed before activation. This account is used for orders placed by guest shoppers in your store.


Set up the eBay Integration

Step 1: Install the eBay Integration

  1. Click the Access button in the top left of the platform.

  2. Select Products > Integration Hub.

  3. Under 'Available integrations', find eBay and click Install.

Step 2: Connect your eBay account

  1. Enter a Store Name for this connection. This is a label used within Unleashed to identify the store and does not need to match your eBay store name.

  2. Select your Marketplace from the dropdown. The following marketplaces are available:

    • eBay UK

    • eBay US

    • eBay Australia

    • eBay Germany

    • eBay Canada

    • eBay France

    • eBay Italy

    • eBay Spain

  3. Click Authorize with eBay. A pop-up window opens and redirects you to eBay's sign-in page.

  4. Sign in to your eBay seller account and grant access when prompted.

  5. Once authorised, you are returned to the integration setup wizard automatically.

Each installed instance of the eBay Integration connects to one eBay marketplace. To sell on multiple marketplaces (for example, eBay UK and eBay US), install the integration separately for each.

📌 Note: The authorisation window opens in a new browser pop-up. If it does not appear, check that your browser is not blocking pop-ups from this site.

Step 3: Configure sync settings

After authorising, you are taken to the Configure step. Complete the following fields, then click Save Changes.

  • Warehouse Code: Enter the code of the warehouse in Unleashed to use as the source for stock level synchronisation. Leave blank to sync aggregated stock across all warehouses.

  • Order Warehouse Code: Enter the warehouse code where eBay orders will be fulfilled from.

  • Guest Account Code: Enter the Unleashed customer account code to use as a fallback for eBay orders where no matching customer is found. This applies when the buyer has no email address or no existing Unleashed customer matches their details. See the Important note below before leaving this blank.

  • Customer Type: Enter the customer type to assign to eBay orders.

  • Order Complete Status: Select the Unleashed order status to assign to imported eBay orders. Options are Parked, Placed, and Completed. Defaults to Parked.

  • Sync Stock: Toggle on to enable stock level synchronisation from Unleashed to your eBay listings.

⚠️Important: If Guest Account Code is left blank and an eBay order arrives where the buyer has no email address, the order import will fail. Configure a guest account before activating the integration to avoid missed orders.

🤓 Tip: If you manage multiple eBay stores or marketplaces, you can install the eBay Integration more than once and give each connection a distinct Store Name.

Managing the integration

After setup, you can manage the integration from the Integration Hub. Click Manage next to your eBay store to access three tabs:

  • Settings

  • Data Management

  • Activity

Settings

Edit your connection details and sync settings at any time. Click Save Changes after any update. Changing the Warehouse Code while Sync Stock is enabled triggers an immediate stock sync to eBay.

Data Management

The Data Management tab provides the Find Missing Orders tool. Use this to recover any eBay orders that did not import automatically.

  1. Select a date range (up to one month back) and click Search.

  2. Unleashed checks eBay for orders within that range that are not yet in Unleashed and displays up to 50 missing order IDs.

  3. Deselect any orders you do not want to import, then click Import Orders.

Activity

The Activity tab displays a paginated log of all integration events. Each entry shows:

  • Timestamp: When the event occurred.

  • Type: One of Error, Warning, Info, or Debug.

  • Message: A description of the event.

  • Entity: The related record type and ID (for example, a sales order number).

Use the 'log type' dropdown and the keyword search to filter results.

To pause the integration without removing it, toggle the Active switch (top right of the manage screen) to off. Toggle it back on to resume syncing.


How the eBay integration syncs with Unleashed

Orders: eBay to Unleashed

When an order is confirmed on eBay, eBay sends a notification to the integration automatically. The integration verifies the notification and imports the order into Unleashed as a sales order. There is no scheduled polling for orders, import is event-driven.

If a buyer has a valid email address and no matching customer exists in Unleashed, the outcome depends on your Guest Account Code setting. If a Guest Account Code is configured, the order is assigned to the guest account. If no Guest Account Code is configured, the integration creates a new customer record using the buyer's eBay details. If the buyer has no email address and no Guest Account Code is configured, the order import fails, and an error is recorded in the Activity log.

Cancellations, refunds, and returns are not supported: The integration imports orders only. Order cancellations, refunds, and returns must be managed manually in both Unleashed and eBay.

Stock levels: Unleashed to eBay

When 'Sync Stock' is enabled, Unleashed pushes available stock quantities to your eBay listings on a scheduled basis. This schedule is managed at the infrastructure level and cannot be customised.

Stock sync also triggers immediately when you change the Warehouse Code in settings. Stock sync is one-way; inventory changes made in eBay are not written back to Unleashed.

Initial product sync: eBay to Unleashed

When the integration first connects, it reads up to three years of your eBay seller listings and maps them to products in Unleashed. Where no matching product exists, a new product record is created automatically. This is a one-time setup step to align your product catalogue. Ongoing product and listing management is done within eBay.

📌 Note: The integration does not push product data from Unleashed to eBay. All product and listing management must be done within eBay.
