You can import your Xero chart of accounts into Unleashed to make them available for selection in areas like Stock Adjustments, product records and customers. Importing doesn't affect your existing data, so you can run this process at any time; ensuring seamless integration and functionality.
Import your Xero accounts
To import Xero accounts into Unleashed, follow these steps:
In Unleashed, go to Integration > Integration Store.
Select Xero.
Select the Manage Your Data tab.
Click Import Accounts.
Your Xero chart of accounts now syncs into Unleashed and appears in the relevant selection lists.
If you have updated your Xero accounts and want to reflect these changes in Unleashed, repeat the import process as above.
Manage account changes in Xero
Account codes serve as unique identifiers in Unleashed. Modifying an account type in Xero can affect historical transactions and reporting. This can break links to products, sales orders, or customers that still reference the old code. For example, changing an account type from Revenue, Direct Cost, or Current Asset may remove it from Unleashed after a sync. This could impact your ability to reference historical data.
Best Practices for managing Xero Account changes
Renaming Accounts: If changing an account type is not feasible due to its impact on historical data, rename the account in Xero to indicate it should no longer be used (e.g., "OLD COGS – DON’T USE"). This ensures the account remains visible but clearly marked as inactive, reducing the risk of accidental selection.
Syncing Data: After making changes in Xero, always re-sync your data in Unleashed to refresh the account list and reflect the changes.
By following these guidelines, you can manage account changes in Xero effectively while maintaining a seamless integration with Unleashed.
