Use the replenishment grid

Create purchase orders, assemblies, and stock transfers from your forecasts and production plans using the replenishment grid.

The replenishment grid brings together your forecasts and production plans to show you exactly what stock needs to be ordered, assembled, or transferred, and when. Use this guide to understand the grid layout and create replenishments.

🤓Tip: It is important to understand the forecasting process before using the replenishment grid, as forecasts are what populate it.


Understanding the grid layout

The replenishment grid displays one row per product that requires action. Each row contains the following columns:

  • Row Selection: A tick box used to select rows before creating a purchase, transfer, or assembly.

  • Product: The product code, description, and forecast status icon.

  • Default Supplier

  • Order Qty

  • Unit of Measure

  • Source Warehouse: Blank if the replenishment is not an assembled product.

  • Destination Warehouse: Where the replenished stock will be sent.

  • Order by: The calculated date by which you should create the transaction:

    • For replenishments from a production plan, the system takes the date the stock is needed, calculates the production time required based on BOM duration settings, and deducts that time from the required completion date.

    • For replenishments from a forecast, the Order by date is the date the stock is required, minus the product's lead days.

    • If the calculated date falls before today, the replenishment is shown as overdue, indicating that you may struggle to produce or procure the stock in time.

  • ETA: The date stock is expected to arrive, as calculated from the forecast or production plan.

To view the forecast that generated a replenishment, click on the product row. The supply chart will open in the forecast view, where the replenishment is plotted in the Supply chart.

To export the replenishment grid into a CSV file, click on Export above the grid.


Create replenishments

Purchases

To create a purchase order from the replenishment grid:

  1. Tick the row(s) you want to purchase using the tick box in the left column.

  2. Click Purchase above the grid.

  3. Review the pre-populated values; overwrite them if needed:

    1. Purchase Quantity

    2. Supplier

    3. Warehouse

    4. Delivery date

  4. Click Create Purchases.

The purchase orders will be created in your account.

⚠️Important: The replenishment grid can use either the Base Unit of Measure or the default Purchasing Unit of Measure saved on each product. If you have supplier purchase prices set up using an additional unit of measure, AIM will create the purchase order using the unit selected in the grid (base or default purchasing). This may result in a purchase price that does not match the supplier pricing set up with an alternate unit of measure.

Assemblies

To create an assembly replenishment:

  1. Tick the row(s) you want to action using the tick box in the left column.

  2. Click Assemble above the grid.

  3. Review the pre-populated values; edit them if needed:

    • Assemble Quantity

    • Source warehouses

    • Destination warehouse

    • Assemble by date

  4. Click Create Assemblies. The assemblies will be created in your account.

Transfers

To create a stock transfer replenishment:

  1. Tick the row(s) you want to action using the tick box in the left column.

  2. Click Transfer above the grid.

  3. Review the pre-populated values; edit them if needed:

    1. Transfer quantity

    2. Source warehouse

    3. Destination warehouse

  4. Click Create Stock Transfers. The transfers will be created in your account.


After creating replenishments

Once your replenishments have been created, a confirmation message will appear.

To prevent duplicate replenishments from being created:

  • The created replenishment row will appear greyed out, and its tick box will be removed.

  • The row will be removed from the grid when the page is reloaded.

In the forecast for that product:

  • A new replenishment bar will be added as 'Open Transaction: pending'.

  • The 'Required Replenishment' bar will be removed, indicating the replenishment has been created.

  • The Open Transaction will be updated with further detail once AIM syncs with your account (approximately every hour).

⚠️Important: Change the status of your purchases from Parked to Placed as soon as possible. AIM does not incorporate parked purchase orders in supply calculations, so confirming a purchase as Placed will clarify the open purchase state of your products.
