Automatically attaching documents such as terms and conditions (T&Cs), policies, or product specifications to your emails can save time and ensure consistency across your customer communications. By uploading documents to Unleashed's File Library and linking them to your email templates, you can streamline your workflow and guarantee that important information is included with every relevant transaction email.
This guide will show you how to upload documents to the File Library and configure your email templates to automatically attach these files to outgoing emails.
Step 1: Upload your document to the File Library
Before you can attach a document to your email templates, you need to upload it to Unleashed's File Library.
Create and save your document (e.g. T&Cs) externally to Unleashed in an appropriate format, such as PDF.
From the main menu, go to Settings > File Library.
Click Upload Files in the top right corner.
A pop-up window will appear. Locate the document on your device and select it for upload.
Once uploaded, the document will be available in the File Library and can be attached to records, transactions, or email templates.
Step 2: Attach the document to Email Templates
Once your document is in the File Library, you can attach it to any email template to ensure it's automatically included with emails sent from Unleashed.
From the main menu, go to Settings > Company and select the Email Templates tab.
Choose the email template you wish to edit and click Attach File under the template's Body field.
If the document has not yet been uploaded to your File Library:
Select Upload File.
A pop-up window will appear. Locate the document on your device and select it for upload.
If the document is already in your File Library:
Select Browse Uploaded Files.
A pop-up window will appear showing your File Library contents.
Find and select the document you wish to attach.
Once attached, the document will automatically be included as an attachment to any email generated from that email template.
Repeat steps 2β4 for each transaction type listed in the Email Templates tab to ensure your document is attached wherever required.
Result
Emails sent from Unleashed for the configured transaction types will now automatically include your attached document, ensuring your customers consistently receive important information without manual intervention.
