Deleting transactions in Unleashed

What happens when you delete a transaction in Unleashed, and what to do if you need to recreate one.

Unleashed is a perpetually updating inventory management system that tracks all stock movements. Transactions cannot be completely removed from your account; deleted records are always retained for auditing and compliance purposes.


Which transactions can be deleted?

You can delete transactions in an open status that have not been completed or partially processed. This includes transactions with a Parked status. The following cannot be deleted if they have been partially processed:

  • Purchase Orders that have been receipted.

  • Sales Orders that have been invoiced or dispatched.

The following transaction types can be deleted when eligible:

  • Sales Orders.

  • Purchase Orders.

  • Stock Adjustments.

  • Stock Counts.

  • Warehouse Transfers.

  • Assemblies.

  • Disassemblies.


What happens to a deleted transaction?

When a transaction is deleted, it is retained as a visible record in your account. It remains available for reviewing and auditing purposes, supporting compliance and traceability across all transactions.

📌Note: Assemblies and Disassemblies cannot be viewed after they have been deleted.

The original order number of a deleted transaction cannot be reused for a new or replacement transaction. This preserves a complete audit history and prevents errors that could arise from duplicate order numbers, particularly for orders exported to accounting systems, where reusing a number could result in duplicate transactions in financial records.


Recreating a deleted transaction

If you need to recreate a deleted Sales Order or Purchase Order, you have the following options:

  • Use the Clone function to recreate and process the order.

  • Re-import the order with a modified order number to make it unique, for example, by adding a prefix, suffix, or a different identifier.

⚠️Important: Orders imported via integrations, such as e-commerce platforms, cannot be re-imported through the integration once deleted. You must recreate these orders manually in Unleashed.


Best practices

  • Avoid deleting orders wherever possible.

  • Plan order numbers systematically to ensure uniqueness.

  • If deletion is unavoidable, be prepared to recreate the order manually.
