Access Evo Warehouse Management allows you to configure warehouse location structures for warehouses created in Unleashed. You can define how your warehouse is organised, including zones, aisles, bays, shelves, and locations, and customise how location codes are formatted to match your organisation's naming standards.
The Access Evo's web interface provides a central hub where you can view all your warehouses synced from Unleashed, configure their location structures, and manage location data. Each warehouse you configure generates a complete set of location codes based on your specifications, which then become available throughout your warehouse operations.

Prerequisites
Your warehouse must be created in Unleashed before you can configure it in Access Evo's Warehouse Management.
Plan your warehouse's physical structure, including how many zones, aisles, bays, shelves, and locations you need.
Determine your preferred location code format and naming conventions.
Configure your warehouses
In Access Evo, open Warehouse Management, and you'll see a list of all warehouses synced from Unleashed. From this page, you can:
View configuration summaries for each warehouse.
Click Edit on any warehouse card to configure its location structure.
Download location codes as a CSV file using the download icon.
Return to the dashboard using the back link.
Step 1: Select a warehouse
In Access Evo's Warehouse Management, click Edit on a warehouse card
Confirm that the Warehouse Name and Code populated match the name and code of the warehouse in Unleashed.
Click Next.
Step 2: Configure shelf dimensions
Define your warehouse's physical structure using a "Zones and Aisles" layout.
The Configuration - Shelf dimensions step divides Warehouse Management into two panels:
Shelf Configuration
Enter values for five dimensions:
Number of Zones: Total number of zones in your warehouse (limit: 999)
Aisles per Zone: Number of aisles in each zone (limit: 999)
Bays per Aisle: Number of bays in each aisle (limit: 999)
Shelves per Bay: Number of shelves in each bay (limit: 999)
Locations per Shelf: Number of locations in each shelf (limit: 999)
As you enter values, the system calculates and displays the total storage locations at the bottom of the form using the formula: Zones Γ Aisles Γ Bays Γ Shelves Γ Locations.
Important: The total storage locations cannot exceed 100,000. If your calculations exceed this limit, you'll need to adjust your dimensions.
Warehouse Visualization
The visualisation panel provides real-time feedback showing how your warehouse structure looks based on your entered dimensions. It includes:
Top View: Floor plan layout showing shelves and aisles
Front View: Single aisle structure showing bays and locations with colour coding; green for bays, purple for locations.
This visual preview helps you verify that your configuration matches your physical warehouse layout.
Once all required dimension fields have valid values, click Next.
Step 3: Format warehouse location codes
Customise how your warehouse's location codes will be formatted using these three formatting elements:
Prefixes for each hierarchical level: Six text input fields arranged in a two-column grid:
Warehouse Prefix
Zone Prefix
Aisle Prefix
Bay Prefix
Shelf Prefix
Location Prefix
Separator character: Enter characters to separate code segments.
Leading zeros option: A checkbox determines whether to use leading zeros for numeric portions, for example, 01, 02, 03.
Preview example
As you make changes, a prominent "Preview Example" section displays a live preview of how your location codes will look. For example: "WH-Z01-A01-B01-S01-L01". This preview updates dynamically as you adjust prefixes, separators, or the leading zeros setting.

Click Next.
Step 4: Confirm the warehouse's configuration
The final step displays a comprehensive summary of your complete warehouse configuration before you commit and create the structure.
The overview is organised into clearly labelled sections:
Warehouse Details: Organisation Type: Zones and Aisles (read-only display).
Dimensions: All values from Step 2 (number of zones, aisles per zone, bays per aisle, shelves per bay, locations per shelf).
Naming Convention:
Format preview (for example, "WH-Z##-A##-B##-S##-L##")
Separator character
Leading zeros setting (Yes/No)
Sample Location Codes: Five representative location code examples showing the actual format. Total count indicator (for example, "... and 115 more locations").
Total Storage Locations: Displayed prominently, showing the total number of locations that will be generated.
Save your warehouse location setup
Review all sections carefully to verify your configuration is correct.
Optionally, click Download CSV in the top-right corner to export the complete list of location codes before saving.
Click Save Warehouse to create the warehouse structure in the system.
Once saved, the warehouse configuration is complete, and the location codes become available for use in warehouse operations.
If you need to make changes, click Back to return to previous steps and adjust your configuration.
Example for a small or simple warehouse
For a warehouse with only shelving units (no formal zones, aisles, or bays):
Set 'Zone', 'Aisle', and 'Bay' each to '1' as placeholders.
Set 'Shelf' to the number of physical shelving units you have.
Set 'Location' to the number of height levels per shelf.
This produces a clean, minimal location structure without unnecessary complexity.
Manage your warehouses
Edit an existing warehouse configuration
From Warehouse Management in Access Evo, you can modify warehouse configurations:
Locate the warehouse card you want to edit.
Click the Edit button with the pencil icon.
The system navigates you to the configuration wizard, where you can update the location structure.
Exporting location codes
Each warehouse card includes a download icon button that allows you to export all location codes as a CSV file. This is useful for:
Sharing location lists with your team.
Integrating location data with other systems.
Creating reference materials for warehouse staff.
Backing up your location structure.
Important considerations
Configuration limits
Each dimension (zones, aisles, bays, shelves, locations) has a maximum value of 999.
Total storage locations cannot exceed 100,000.
Plan your dimensions carefully to stay within these limits while meeting your storage needs.
Location editing restrictions
Once a product is put away to any location in your warehouse, you can no longer edit the location configuration, including prefixes and quantities.
Review your configuration carefully before saving and using locations in warehouse operations.
We are actively working on improving this functionality to allow configuration changes after locations are in use.

No. Bin locations in Unleashed are not synced to or related to the location hierarchy in Warehouse Management. Only warehouse information is synced across; bin location configuration is managed entirely within the Warehouse Management app.

Yes. Each level supports a custom abbreviation prefix. For example, using LEV instead of LOC if your team refers to the lowest level as a "level" rather than a "location." Prefixes are limited to 3 characters.

When enabled, the leading zero option pads location codes with a preceding zero to ensure consistent sorting β for example, 01, 02 ... 09, 10. This formatting only applies when a given level contains more than 9 units. If the count for that level is 9 or fewer, codes will display without leading zeros (1, 2, 3 ... 9) regardless of whether the setting is enabled.

Not all levels need to be used. The hierarchy should reflect your actual physical warehouse structure β intermediate levels that do not apply to your operation can be bypassed. For any unused level, enter 1 as a placeholder value; the system does not accept zero.

Each level multiplies all levels beneath it. For example, configuring 2 zones will produce 2 sets of all aisles, bays, shelves, and locations below; effectively doubling your total location count. Every level is calculated as a quantity per unit of the level above it.

If multiple warehouses have an identical layout, the same hierarchy configuration can be applied to each. The settings will be duplicated across warehouses, so there is no need to configure them separately.

Because all levels within a warehouse share the same configuration, zones cannot have independent structures. If your zones differ in size or layout, configure the hierarchy to match the largest zone and leave the excess locations unused in the smaller zones.
