Generate sales reports and analyse performance in Unleashed

Unleashed provides robust tools for generating and analysing sales reports. Whether you need historical sales data, specific comparisons, or detailed product-level insights, the platform offers versatile reporting options.


Choose the right report for your needs

Unleashed offers several reporting tools depending on what you want to find out. Using the right report for your goal ensures you're working with the most accurate and relevant data.

To access the reports mentioned in the table below, go to Reports, click Sales and select the report you need.

Sales performance based on Sales Order dates. Useful for understanding product margins.

Sales Enquiry

Detailed breakdown including order numbers, customer names, product details, and sales values.

To set up a reusable, customisable, granular, export of data for up to three-month periods, go to Integration, then click Data Exporter.


Compare sales performance against last year

You can use the Business Intelligence (BI) tool to compare current sales against the same period in the previous year. This gives you a quick view of whether performance is improving, declining, or holding steady.

  1. From Unleashed, go to Business Intelligence, select Sales, then click Sales Revenue.

  2. Select your date range. Use Month to Date for an automatic current-period view, or set a custom date range for a specific timeframe, for example, 1–20 August.

  3. Select the Last Year comparison toggle to display equivalent data from the same period in the prior year.

📌 Note: Custom date ranges automatically align the prior year comparison to matching dates, for example, 1–20 August of the previous year.


Understand discrepancies between reports and dashboards

If you notice differences in revenue figures between reports and the BI dashboard, this is expected behaviour. Different tools use different data sources, date references, and refresh timings.

Common reasons for discrepancies:

  • BI Dashboard vs. Invoice Enquiry: The BI Dashboard calculates revenue using invoice dates and includes order charges minus all credits. The Invoice Enquiry report reflects real-time data and is the most accurate source for financial figures.

  • Dashboard BI vs. Targets and Tracking: The BI Dashboard includes invoice charges in its totals; Targets and Tracking does not.

  • Margin Enquiry vs. BI Dashboard: Margin Enquiry uses Sales Order dates; the BI Dashboard uses invoice dates. The same transaction may appear in different reporting periods depending on which tool you use.

  • Invoice date vs. completion date: The invoice date is set when the invoice is created and does not change when the invoice is completed. An invoice created in June but completed in July will always report under June.

  • Refresh timing: The BI Dashboard updates periodically, usually hourly. Standard reports like Invoice Enquiry update in real time.

Overview of Sales Reporting

  • Invoice Enquiry: Reflects real-time data, including completed invoices and credits.

  • Margin Enquiry: Provides insights based on Sales Order dates, which may differ from dashboard metrics.

For advanced analytic capabilities such as comparative sales analysis.

It is important to note that different reports in Unleashed may use varying calculation methods, data sources, and refresh timings, which can lead to discrepancies in the figures presented. Understanding these differences is crucial for accurate analysis and decision-making.


Generating Historical Sales Reports

To view sales data over a specified period, you can use the following reporting tools:

  1. Unit Sales Enquiry Report: Provides month-by-month sales data within a specific date range. Supports filtering by years, year-to-year, or months, with data up to 10 years.

  2. Sales Enquiry Report: Offers detailed information, including sales order numbers, customer names, product details, and total sales values. Date range filters similar to the Unit Sales Enquiry Report are available.

  3. Data Exporter: Provides data limited to a 3-month period for granular export purposes.

To access these reports, navigate to Reports > Sales and choose the most suitable report, according to your needs. Or go to Integration > Data Exporter and create your own, reusable, exported report.


Comparing periodic Sales performance

To compare current sales performance against the same time last year, follow these steps:

  1. Navigate to Business Intelligence > Sales > Sales Revenue.

  2. Set the date range for the current period: Use "Month to Date" for an automated period. Alternatively, select custom date ranges for precise timeframes (e.g., August 1–20). Custom dates will enable a comparison with corresponding dates from the previous year.

  3. Enable the "Last Year" comparison to view equivalent sales data from the same period in the preceding year.

Frequently asked questions

Why does the Invoice Enquiry total differ from my unpaid invoice amounts?

The Invoice Enquiry report shows revenue, not the amount owed. To see invoice totals, add the Total column in the report and filter for invoices without a payment received.

Why is a completed invoice appearing in an earlier month's figures?

The invoice date, not the completion date, determines which month a transaction reports under. If the invoice was created in June and completed in July, it will appear in June's figures.

Why is my Sales Enquiry total lower than the dashboard figure?

The Sales Enquiry report includes both open and completed sales orders. The dashboard only reflects completed transactions. Use the Invoice Enquiry report to align with the dashboard total.
