Inventory management with Access Evo

Use the Inventory Management feature in Access Evo to get a real-time view of your stock levels, locations, and batch information across all your warehouses.

Inventory Management, in Access Evo, is a mostly read-only feature for warehouse managers and administrators to view all products and their stock, broken down by location and batch.

The Bulk Assign Location feature is the only action you can take directly in the Inventory Management page of Access Evo, and it functions to assign bin locations to multiple products via a CSV or XLSX file.

Important: All stock modifications, including stock adjustments, purchase order receiving, put-away workflows, and order picking, are performed in the Warehouse Management app.

Prerequisites

  • Admin access is required to use Access Evo's Inventory Management. If you cannot see the feature or receive an access error, contact your Access Evo administrator to confirm your permissions.

📌Note: Inventory Management shows the current state of your inventory as recorded in Unleashed. When mobile operations are in progress, a pending adjustment warning keeps you informed that displayed quantities may temporarily differ from the final count.


Browse your inventory

When you open Inventory Management, a summary table loads all products across your warehouses. Each row shows:

Column

What it shows

Product

The product image, name, and SKU.

Total Qty

Total stock across all locations. Never-Diminishing Products display 'NDP' instead of a number value.

Batch

The primary batch number. Non-batch-tracked products and Never-Diminishing Products show a dash.

Location

The primary bin or shelf location holding the highest quantity. Stock not assigned to a location shows as Unassigned.

The table loads up to 50 products per page. Use the Previous and Next buttons to move between pages, and refer to the "Showing X–Y of Z products" counter to track your position.

🤓 Tip: Zero-quantity items and rows with no stock are displayed in a dimmed style so you can quickly identify active stock lines.


Search and filter

Two controls let you narrow down the product list:

  • Search bar: Type a product name or SKU to filter results. The table updates automatically as you type.

  • Warehouse filter: Select a specific warehouse from the dropdown to scope all data to that location. By default, all warehouses are shown.

🤓 Tip: The total product count updates to reflect your active filter. For example, switching from All Warehouses to a specific warehouse may reduce the count from 106 products to 89.

Changing either filter clears any expanded product rows and refreshes the table.

Sort the product list

You can click the Product or Total Qty column headers to sort the table:

  • Product: Toggles between A–Z and Z–A alphabetically.

  • Total Qty: First click sorts highest to lowest; second click resets to alphabetical order by product name.

Sorting triggers a fresh data sync.

Expand a product for a location and batch breakdown

Products with stock spread across more than one location or batch show a chevron icon on the right side of their row. Click the row to expand it and see a detailed breakdown.

Column

Description

Batch

Batch number, or a dash for non-batch-tracked products. Visible only for batch-tracked products.

Warehouse

The warehouse name for each stock row. Visible only when viewing All Warehouses.

Location

The specific bin or shelf location, for example, WH-Z01-A01-B01-S01-L01, or Unassigned.

Qty

The quantity at that specific location and batch combination.

Expiry

The best-before date for that batch, formatted by your region. Shows a dash if no expiry is set.

You can expand multiple products at the same time. Once a product has been expanded, its details are cached, so re-expanding it is instant.

You can also click any column header within the breakdown to sort that product's details independently. The default sort is by batch receipt date (oldest first), giving a first-in, first-out view.

🤓 Tip: Expiry dates are formatted according to your region, DD/MM/YYYY for UK, EU, and APAC users; MM/DD/YYYY for US users.


Understand the pending adjustment warning

If a warehouse operative has started a stock adjustment in the Warehouse Management app but has not yet confirmed it, the quantities shown across Access Evo may not reflect the final count.

When this happens, you will see an amber warning triangle ⚠ next to the Total Qty in the summary table. Hovering over it shows the message: 'Quantity may be inaccurate - a stock adjustment is pending confirmation in the app.'

In the expanded breakdown, individual batch rows affected by a pending adjustment also show a smaller warning icon with the message: 'This batch has a pending stock adjustment.'

Once the operative completes and confirms the adjustment in the Warehouse Management app, the quantities will update automatically.

⚠️ Important: Do not rely on quantities marked with a pending adjustment warning for critical decisions such as order fulfilment or stock count sign-off until the adjustment has been confirmed on the mobile device.


Understand the inventory data

Non-batch-tracked products

For products that do not use batch tracking, the expanded breakdown shows only location and quantity no batch number is displayed.

Batch-tracked products

For products with batch tracking enabled, each row in the breakdown represents a specific batch at a specific location. The expiry date is shown if one has been recorded for that batch.

Never-Diminishing Products (NDP)

Products flagged as Never-Diminishing, such as services or digital goods, display 'NDP' in the Total Qty column. These rows cannot be expanded and do not have location or batch breakdowns.

Unassigned stock

Stock that exists in a warehouse but has not been assigned to a specific bin or shelf location appears as Unassigned in the Location column.


Troubleshoot common issues

The inventory table shows no products.

The active search term or warehouse filter may have returned no results. Clear the search field or select All Warehouses from the dropdown and try again.

A product row fails to expand.

If the detailed data fails to load, the expanded row shows a 'Retry' button. Click it to reload the data. If the issue persists, check your network connection or contact support.

The warehouse dropdown shows an error.

A small red refresh icon appears next to the dropdown if the warehouse list fails to load. Click it to reload the list.

The Bulk Assign Location button is disabled.

Another upload is already in progress. Wait for the current upload to complete before starting a new one.

A product is missing from the bulk assign template.

The product may have an open put-away task in the Warehouse Management app. Complete the put-away task on the mobile device, then re-download the template.
