In Unleashed, sales orders cannot be deleted once certain actions, such as shipment or invoicing, have been completed. This restriction ensures the integrity of audit logs, inventory records, and financial reporting. Below, we outline the reasons for these restrictions and provide actionable solutions for managing such scenarios.
Reasons for restrictions
Completed Shipments: Once a shipment is dispatched, the sales order is locked to preserve inventory and audit integrity.
Completed Invoices: Orders with completed invoices cannot be deleted to maintain a complete audit trail and ensure accurate financial reporting.
Parked Order Status: Even if an order is in Parked status, deletion is blocked if any lines have been invoiced or shipped.
Managing Orders After Shipment or Invoicing
If you cannot delete a sales order, consider the following alternatives.
Complete the Order
Mark the order as complete to remove it from the open orders queue. Handle any remaining items by issuing credit notes or processing returns as needed. For example, you can issue a credit to return stock and set the credit price to zero to adjust inventory without re-crediting money.
Issue a Credit Note
If the shipped quantity is incorrect, issue a credit note to reverse the quantities and recreate the order with the correct details. Use the cloning function to expedite this process.
Create a New Sales Order
For backorders or unfulfilled lines, create a new sales order to allocate stock appropriately.
Handle Shopify Orders
For imported Shopify orders that cannot be edited, complete the order and raise a credit note to return unwanted products.
Verify Shipment and Invoicing Status
To check whether a Sales Order can be deleted:
Open the Sales Order.
In the Order Lines tab, review the Shipped and Invoiced columns. If the figure shows 0, the items have not been invoiced/dispatched.
Check the Invoices and Shipments tabs and confirm there are open (e.g. Parked) invoices or shipments for the Order.
If all the conditions are met, the Sales Order can be deleted.
