How Stock Adjustments sync from Unleashed

This article explains how stock adjustments from Unleashed are processed in the Unleashed Warehouse Management App and what actions you may need to take.

When internal stock transactions occur in Unleashed, they automatically sync to the Unleashed Warehouse Management App, keeping your Stock on Hand quantities aligned across both platforms. Internal stock transactions in Unleashed include:

  • Stock adjustments

  • Warehouse transfers

  • Stock counts

Stock is synced between Unleashed and the Warehouse Management App every 10 minutes, or when manually triggered in the app's hamburger menu. If multiple transactions occur for the same product in Unleashed since the last sync, the app displays the combined result rather than individual transactions.

To view the full breakdown of individual transactions, go to Unleashed > Reports > Inventory > Transaction Enquiry.

The app intelligently routes each adjustment based on your product's current location assignments, either processing it automatically or flagging it for your input.


How Stock Adjustments are processed

When an adjustment syncs from Unleashed, the app evaluates where your product is currently stored and routes it to one of three scenarios:

The following section explains when each scenario applies to a synced adjustment and the action that needs to be taken to finish the process.

Auto-processed adjustments

Adjustments are processed automatically when the app can determine exactly where to apply the change.

This happens when:

  • The product exists in only one assigned location (increment or decrement).

  • The product exists only in the Unassigned pool and the adjustment is a decrement.

Example: Product "Cable-HDMI" exists only in location G-25 with 150 units. When a +20 adjustment syncs from Unleashed, the app automatically applies it to G-25, updating the quantity to 170 units.

Auto-processed adjustments appear in your Stock Adjustments list for reference but require no action from you.

Adjustments needing put away

When stock is added and the app cannot determine where to store it, the adjustment is routed to the put away workflow.

This happens when an increment is received and:

  • The product exists in multiple assigned locations.

  • The product exists only in the Unassigned pool or is completely new.

What happens: The incoming quantity is added to the Unassigned pool, and a put away task is created for you to assign the stock to a specific location.

Example: Product "Mouse-Wireless" exists in locations F-10 (60 units) and G-15 (45 units). When a +25 adjustment syncs from Unleashed, the app adds the 25 units to Unassigned and creates a put away task for you to complete.

โš ๏ธ Important:

  • The put away task displays the total Unassigned quantity, not just the adjustment amount. For example, if you already have 100 units in Unassigned and receive a +20 adjustment, the put away task will show 120 units.

  • You must put away the entire quantity to a single location. Splitting quantities across multiple locations is not currently supported.

๐Ÿค“ Tip: Complete put away tasks promptly to keep your Unassigned pool clear and maintain accurate location-level inventory.

Adjustments needing location selection

When stock is reduced and the app cannot determine which location to take it from, you need to select the source location(s).

This happens when a decrement is received and:

  • The product exists in multiple assigned locations.

  • The product has stock in both assigned locations and the Unassigned pool.

Process a location selection

  1. Open the Stock Adjustments page in the app.

  2. Tap on the adjustment card marked as needing location selection.

  3. Review the available locations and their current quantities.

  4. Enter the quantity to reduce from each location. The total must match the required decrement exactly.

  5. Tap Confirm Adjustment when the target reduction is met.

Example: Product "Canned Beans 400g" requires a -20 unit adjustment and exists in three locations: A-01-01 (50 units), A-01-02 (30 units), and B-02-01 (20 units). You could reduce 6 units from A-01-01 and 14 units from A-01-02, or any other combination totaling 20 units.

โš ๏ธ Important:

  • You cannot enter more than the available quantity at any location.

  • The total reduction must match the adjustment amount exactly. You cannot confirm until the target is met.

  • For batch-tracked products, only locations containing the specific batch are available for selection.


Manage adjustments for Batch-tracked products

Stock adjustments for batch-tracked products follow the same logic as above, but the app considers batch numbers when determining locations.

For auto-processing: If a specific batch exists in only one location, the adjustment is applied automatically to that location, even if the product exists in other locations with different batches.

For location selection: Only locations containing the specific batch are displayed. Other locations with different batches are not available for selection.

Example: Product "Chocolate-Bar" with BATCH-A exists in locations A-01 and B-03. The same product with BATCH-B exists in C-05. When an adjustment for BATCH-A syncs, the app only considers locations A-01 and B-03. Location C-05 is ignored.
