What is Goods Receipt?
Goods Receipt allows warehouse staff to record the arrival of inventory directly from a mobile device. When a delivery arrives at your warehouse, receivers can open the relevant Purchase Order in the Unleashed Warehouse Management App, verify the items and quantities, and record what was received. This information syncs back to Unleashed, updating your PO status and inventory levels.
The feature is designed for use at the dock or receiving area, where staff can process deliveries as they arrive without needing to return to a desktop computer.
Why use Goods Receipt?
Receive inventory where it arrives: Process deliveries at the dock or goods-in area using a mobile device, rather than recording receipts at a fixed workstation after the fact.
Verify shipments accurately: Compare received items against expected quantities in real time, catching discrepancies before stock enters your warehouse.
Maintain batch traceability: For products that require batch tracking, record batch numbers and expiry dates as part of the receiving process. This information flows through to Unleashed for complete traceability.
Speed up data entry with scanning: Use barcode scanning to add received quantities and enter batch information faster than manual input.
Keep Unleashed up to date: Completed receipts sync automatically to Unleashed, updating PO status and inventory levels without manual data entry.
Prerequisites
Ensure your Unleashed Warehouse Management App is connected to Unleashed. See our setup guide if you haven't configured this yet.
Purchase Orders must be created in Unleashed before they appear in the Unleashed Warehouse Management App. The app syncs pending POs automatically.
Check that your products are set up correctly in Unleashed, including batch tracking settings for products that require it.
Viewing and selecting Purchase Orders
When you open the Goods Receipt feature, the Unleashed Warehouse Management App displays a list of all pending Purchase Orders synced from Unleashed.
Each PO in the list shows:
PO number
Supplier name
Expected delivery date
Number of line items
Total units expected
Finding a specific PO
If you have many pending orders, you can search by PO number, supplier name, or delivery date and the populated list filters as you type.
You can also use the filter tabs to narrow your view:
Today shows only POs expected to arrive today.
This Week shows POs expected within the current week.
Overdue shows POs past their expected delivery date. Overdue POs display a red badge to help you identify them quickly.
Once you locate the correct PO, tap on it to view the line items.
Receiving PO line items
After selecting a PO, you'll see a list of all items on the order.
Each line on a PO shows:
Product name
SKU
Expected quantity
Number of units received so far
Tap on a line item to expand it and begin recording received quantities.
Receiving standard products
For products without batch tracking, the line item's expanded view displays two quantity cards side by side:
Expected quantity (grey): what the PO says you should receive.
Received quantity (teal): what you're recording as received.
You have two ways to record received quantities:
Manual adjustment: Use the plus and minus buttons to increase or decrease the received quantity one unit at a time.
Barcode scanning: Tap "Scan to Add +1" to open the scanner. Each time you scan a product barcode, the received quantity increases by one. This method is faster when receiving multiple units of the same product.
Receiving batch-tracked products
Products configured for batch tracking in Unleashed require additional information during the receiving process. You'll see a "Batch Tracking" label on these items.
Instead of simple quantity controls, batch-tracked products require you to add batches individually:
Tap Scan Product & Add Batch to open the batch entry screen.
Enter or scan the batch number.
Enter the quantity for this batch.
Optionally, enter an expiry date if applicable.
Tap Save to add the batch.
The batch appears in a list below the quantity cards, showing the batch number, quantity, and expiry date. The total received quantity updates automatically based on all batches added.
Receiving multiple batches: If a single batch doesn't contain enough units to meet the expected quantity, or if your shipment contains items from different production runs, add multiple batches. Each batch is recorded separately for traceability.
Removing a batch: If you enter a batch incorrectly, tap the X button next to it to remove it and start again.
Quantity warnings: If the total quantity across all batches doesn't match the expected quantity, a warning appears. You can add more batches to resolve the discrepancy or proceed if the difference is intentional.
Completing the receipt
Once you've recorded received quantities for all line items, tap Complete PO Receipt at the bottom of the Unleashed Warehouse Management App screen.
A confirmation dialogue asks you to verify that you want to complete the receipt.
When you confirm:
Unleashed Warehouse Management App sends the receipt data to Unleashed.
The PO status in Unleashed updates to "Receipted".
Return to the Unleashed Warehouse Management App's PO list, where the receipted PO no longer appears.
After the PO status changes to "Receipted" in Unleashed, inventory levels update to reflect the received quantities.
How Goods Receipt syncs with Unleashed
The Goods Receipt feature maintains a two-way connection with Unleashed:
From Unleashed: Purchase Orders created in Unleashed, with the status "Placed", sync to the app automatically, appearing in your pending PO list. Product information, expected quantities, and batch tracking requirements all come from Unleashed.
From Unleashed Warehouse Management App: When you complete a receipt, the app sends the full receipt data back to Unleashed, including received quantities for each line item, batch numbers and expiry dates for batch-tracked products, and the completion timestamp. The PO status in Unleashed then updates to "Receipted."
Both sync operations require an active network connection.
Important limitations
Complete receipts only. The Unleashed Warehouse Management App does not currently support split receipts. You must receive all items before completing the PO. If some items haven't arrived, you'll need to wait or escalate to a supervisor.
Single session processing. You cannot save your progress and return later. If you exit the PO before completing the receipt in the Unleashed Warehouse Management App, your entries are lost. Only begin a receipt when you can finish it in one session.
One receiver per PO. Multiple staff members cannot work on the same PO simultaneously. Coordinate with your team if you need to split receiving duties.
Network required. Both loading PO data and submitting completed receipts require network connectivity. If your connection drops during receiving, you won't be able to complete the PO until it's restored.
Batch tracking is enforced. For products with batch tracking enabled in Unleashed, you must enter batch information before completing the receipt. This cannot be skipped.
