Shipment-based picking in the Warehouse Management app

A guide on how to set up and fulfil Orders with Shipment-based picking in the Warehouse Management app.

What is Shipment-based picking?

Shipment-based picking changes how orders flow from Unleashed into the Warehouse Management app. Instead of importing an entire Sales Order as a single picking task, the system imports each Sales Shipment individually. This lets you split a Sales Order into multiple shipments in Unleashed and fulfil each one separately in the warehouse.

When Shipment-based picking is enabled:

  • Each Sales Shipment with a status of 'Placed' in Unleashed appears as its own order in the Warehouse Management app picking queue.

  • Status updates (Picking, Picked, Packed, Dispatched) sync back to the individual Sales Shipment in Unleashed in real time.

  • A large Sales Order can be split into smaller shipments and fulfilled independently — useful for partial shipments, multi-warehouse operations, or prioritising urgent items.

  • Each warehouse only receives shipments assigned to it, so your picking queue always reflects your warehouse's work.

  • Batch-tracked products are fully supported, with batch allocations taken directly from the shipment.

  • Sales Shipments with a status of 'Placed' sync automatically to the Warehouse Management app, so your warehouse team can start work without manual data entry.


Before you begin

Before orders can sync to the Warehouse Management app, you must configure your picking source in Warehouse Management in Access Evo.

If you are setting up the Warehouse Management app for the first time, you will be prompted to choose your picking source during setup.

If you have previously used the Warehouse Management app, your picking source is already set to Sales Orders — navigate to Settings in Warehouse Management in Access Evo to switch to Shipment-based picking.


Set up Shipment-based picking

You configure the picking source from the Settings page in Warehouse Management in Access Evo.

First-time setup

  1. Log in to Warehouse Management in Access Evo.

  2. Navigate to the Settings page.

  3. A banner reading 'Orders Not Synced' will appear with an Import Orders button. Click Import Orders.

  4. In the dialog, select Import from Sales Shipment.

  5. Click Confirm & Start Sync. The sync runs in the background — your existing Sales Shipments will appear in the picking queue once the sync is complete.

By clicking Start Sync, it triggers the sync flow and the Sales Orders, or Sales Shipments in the Placed status will be imported.

Switch your picking source

If you have previously configured your picking source and want to switch to Shipment-based picking:

  1. Navigate to the Settings page in Warehouse Management in Access Evo.

  2. Click the toggle between Sales Order and Sales Shipment to select your picking source.

  3. In the confirmation dialog, click Confirm & Sync to proceed.

You must complete or delete all existing orders before switching your picking source. This applies to orders that were imported with a status of 'Placed' — orders in other statuses in Unleashed (such as Parked) are not synced and are not affected.

If there are incomplete orders, the system will display a 'Cannot Switch Modes' message listing the orders that need to be resolved first. This prevents the same items from being imported twice.


How Sales Shipments reach your picking queue

Sales Shipments with a status of 'Placed' in Unleashed sync automatically to the Warehouse Management app.

Multi-warehouse is supported. To pick shipments assigned to a different warehouse, switch your warehouse in the Warehouse Management app.


Pick a Sales Shipment order

Once a Sales Shipment appears in your picking queue, the picking workflow is the same as for Sales Order picking source:

  1. Open the Picking screen on the Warehouse Management app.

  2. Select the order from the picking queue.

  3. Tap Start Pick. The order status changes to 'Pick Started' and updates in Unleashed to 'Picking'.

  4. Work through each line item: the app guides you to the storage location, scan the product barcode to verify the item, then confirm or adjust the quantity.

  5. Once all items are picked, tap Confirm Order Complete. The order status changes to 'Picked' and updates in Unleashed.

Batch-tracked products

For products with batch tracking enabled, the Warehouse Management app retrieves batch allocations directly from the Sales Shipment in Unleashed:

  • The allocated batches and required quantities are displayed for each line item.

  • Work through each batch, confirming the picked quantity.

  • The pick cannot be completed until all batch allocations are fulfilled.

  • If additional stock is needed beyond the pre-allocated batches, the app suggests batches based on goods receipt date (first in, first out).

Pack an order

  1. Open the Packing screen on the Warehouse Management app.

  2. Find the order in the Picked tab.

  3. Tap the order and confirm it is packed. The order status changes to 'Packed' and updates in Unleashed.

Despatch an order

  1. From the Packing screen, find the order in the Packed tab.

  2. Scan or confirm the despatch. The status update is sent to Unleashed.

  3. The Sales Shipment status updates to 'Dispatched' in Unleashed and the order is completed in the Warehouse Management app.

Statuses always move forward. The Warehouse Management app will not allow a Sales Shipment status to go backward — for example, from 'Packed' back to 'Picked'.

Current limitations — sync from Unleashed to the Warehouse Management app

The following sync capabilities are not yet available but are planned for future updates:

  • Line item quantity changes: If you modify the quantity on an existing line item in Unleashed, the change will not appear in the Warehouse Management app. To update a quantity, delete the line item in Unleashed and add a new one.

  • Line item additions and removals on existing shipments: Adding or removing line items on a Sales Shipment that has already been imported may not be reflected in the Warehouse Management app.

  • Status changes made directly in Unleashed: If someone manually advances a Sales Shipment status in Unleashed, that change will not be reflected in the Warehouse Management app.


Known limitations

Be aware of the following limitations before using Shipment-based picking:

  • No order locking: Multiple pickers can select and work on the same order at the same time. Coordinate with your team to avoid duplicate picks.

  • Partial picks remain in progress: If you encounter insufficient stock during picking, the order remains in progress until the full quantity is available.

  • Quantity changes are not supported: Changes to quantities on existing line items in Unleashed will not appear in the Warehouse Management app. To change a quantity, delete the line item in Unleashed and add a new one.

  • Picked quantities cannot be reduced: Once confirmed, a picked quantity can only be increased, not decreased. To correct an error, delete the order in Unleashed and create a new one.

  • Internet connection required: An active internet connection is needed for status updates and for new shipments to appear in the picking queue.

  • Statuses only move forward: Statuses progress from Picking to Picked to Packed to Dispatched and cannot be reversed.

  • Sufficient stock required: Sales Shipments with insufficient stock will not appear in the picking list.

  • Carrier and tracking details not captured at despatch: Shipping company and tracking number are not recorded during the despatch step in the Warehouse Management app. These details must be updated directly on the Sales Shipment in Unleashed.

  • No documentation printing: Packing slips and delivery notes are not available at the pack stage. These must be generated separately in Unleashed.


Frequently asked questions

What happens if I create a Sales Shipment but I'm still in Sales Order picking source?

The shipment will not be imported. Only the picking source you have configured is active at any time. Go to Settings in Warehouse Management in Access Evo and switch your picking source to Shipment-based picking to import shipments.

Can I have some orders from Sales Orders and some from Sales Shipments at the same time?

No. The system operates on one picking source at a time. You must complete all orders from the current picking source before switching to the other.

What if a Sales Shipment is deleted in Unleashed after it was imported?

The corresponding order is automatically removed from the Warehouse Management app. You do not need to take any manual action.

Do I need to do anything different on the mobile app when using Shipment-based picking?

No. The picking, packing, and despatch workflows are identical regardless of whether orders were imported from Sales Orders or Sales Shipments. The only difference is where orders originate and how statuses sync back to Unleashed.

How quickly do Sales Shipments appear in the picking queue?

Sales Shipments with a status of 'Placed' sync to the Warehouse Management app every 10 minutes.

Does batch tracking work with Sales Shipments?

Yes. Batch allocations are taken directly from the Sales Shipment in Unleashed. The picking experience for batch-tracked products is the same as with Sales Order picking source.
