If your Access Evo account is linked to more than one organisation, the Warehouse Management app lets you choose which organisation to work in after signing in. This is useful for businesses that manage separate inventories, warehouses, or subsidiaries across different Unleashed organisations, but want their staff to access everything from a single app.
Once you choose an organisation in the app, all the app's features operate within that organisation's context.
Prerequisites
Before you can switch organisations in the app, make sure the following requirements are met:
Your Access Evo account must be a member of more than one organisation, each with an active Warehouse Management subscription.
Each organisation must be connected to its own Unleashed account.
Your Access Evo member account must have the appropriate role assigned for the Warehouse Management app within each organisation you need to access.
How organisation selection works
When you sign in to the Warehouse Management app, the app automatically determines which organisation to connect you to:
If only one organisation has a valid Warehouse Management subscription, the app signs you in to that organisation by default.
If multiple organisations have valid Warehouse Management subscriptions, the app automatically selects a default organisation. If the app cannot determine which to use, the 'Select Organization' screen appears so you can choose.
If no valid Warehouse Management subscriptions are found, the app displays a message indicating limited access.
Your organisation selection is stored locally on your device and remembered between sessions; you do not need to choose again each time you open the app unless you want to switch. If you use the app on multiple devices, you may need to select your organisation separately on each one.
π Note: If you uninstall and reinstall the app, your stored organisation selection is cleared, and you will need to select your organisation again on first sign-in.
Switch to a different organisation
You can switch organisations at any time without signing out:
In the Warehouse Management app, select the menu icon on the home screen.
In the side menu, select Switch Organization.
Your 'Current Organization' is displayed at the top of the page, with a tick icon. All other 'Available Organizations' are listed below it.
Click on Switch next to the available organisation you want to change to.
A confirmation message appears: 'Organization switched to [organisation name].'

Important: Switching organisations clears your recent product searches, scan history, and any unsaved form data. Complete or save your current work before switching.
After switching organisations in the app
Once you have selected an organisation, the following areas of the app reflect that choice:
Side menu header: Displays the organisation name and current warehouse.
Users list: Shows members of the selected organisation.
Warehouse selection: Lists warehouses belonging to the selected organisation.
All operational features: Pick, Pack, Receive Goods, Put Away, Stock Check, Product Lookup, Stock Adjustments, and Bin Transfer all operate within the selected organisation.

Important: The Access Warehouse Management app and module are Access products available exclusively to Access Evo customers with an Unleashed Core or Pro subscription.

You'll see an 'Access Restricted' pop-up after signing in if your Access Evo account is not linked to an organisation. The pop-up displays the email address you are currently signed in with and advises you to speak to your security administrator. You have two options from this screen:

To resolve this, contact your security administrator and ask them to ensure your account is correctly linked to an organisation in Access Evo.

Subscription and role changes do not apply until you restart your session. To see the changes, sign out and sign back in, or close and reopen the app.
This applies to both of the following:
Subscription changes: If your administrator adds or removes a Warehouse Management subscription.
Role changes: If your Access Evo Member role within an organisation is updated.

Organisation validation requires an active network connection. If you are offline, the app uses your most recent organisation selection. Connect to a network and reopen the app to validate your organisation with the most current data.

Switching organisations clears your recent product searches, scan history, and form data. This is expected behaviour and prevents data from one organisation from being visible in another.
How the app syncs with Unleashed
How the app syncs with Unleashed
Each time you sign in, the app retrieves your user profile and organisation memberships from Access Evo. This includes all organisations your account belongs to and their subscription details.
All data in the app, including orders, products, stock, and warehouses, belongs to the Unleashed account connected to your selected organisation. Switching organisations changes which Unleashed account the app communicates with.
When you sign in to an organisation, the app also automatically imports the warehouse list from the connected Unleashed account to keep your options current.
